01

Contact the booking provider and confirm the replacement plan

To change a shaken appointment, identify the garage and the booking route you actually used, then contact the party responsible for that reservation. Give the booking reference, the existing date, your inspection expiry and the change you want. Separate a preliminary-estimate visit from an agreed inspection or repair contract. A replacement enquiry is not a confirmed replacement appointment. Keep the current arrangement visible until you know what has been cancelled, what remains valid and what has been accepted instead.

Rakuten Car Shaken's terms direct customers to arrange date changes or cancellations with the receiving garage. Its terms also distinguish cancellation of the actual inspection work, whose conditions are set by the garage. That distinction is useful even when you booked through another service: find the terms applying to your real arrangement rather than assuming every online form has the same rules. 車検.jp cannot access or change an external reservation. This guide helps you organize the conversation, compare replacement conditions and prepare your next visit. It does not promise available slots, a fee-free cancellation or same-day completion. The best outcome is a confirmed plan you can carry out, with clear dates and scope, rather than several unfinished enquiries that compete for the same afternoon.

02

Identify exactly which stage you have booked

Look at the latest message and ask what event it records. It might acknowledge an application, confirm a visit time, approve a quotation or describe work already authorized. Those stages can all appear in a long email thread. Do not select the first message you find and assume it describes the current arrangement. If a phone conversation changed the date afterward, put that conversation beside the written record and ask the garage to confirm the current state.

Create a simple stage card: estimate visit, work approval, vehicle admission, expected completion and collection. Enter a confirmed date only where you have one. For an estimate visit, note whether an inspection on the same day has actually been agreed or merely discussed. For vehicle admission, note whether the garage expects to keep the car. For collection, note whether the time depends on findings or parts. This prevents a change to one visit from being mistaken for a change to the whole process.

In a household with several vehicles, attach the right model and reference to every conversation. A partner may have booked the estimate while you arranged transport, leaving each person with part of the story. Bring those records together before contacting reception. The objective is not to build an elaborate spreadsheet; it is to make one clear request. For example, "I want to change the estimate visit, while the inspection date has not yet been agreed" is much easier for a garage to answer than "Please move my car booking."

03

Build date options from the actual inspection expiry

Use the expiry shown in the vehicle's official inspection information, rather than the purchase date or the date of a previous booking. Work backward from that date while allowing for the steps that remain unresolved. You might need an estimate visit, document recovery or an assessment of a reported fault before an inspection arrangement is meaningful. A date that looks open in your personal calendar can still be impractical if the garage must obtain a component first.

Offer a small number of realistic alternatives. Mark a first choice, a second choice and any times you cannot make the car available. Explain the constraint behind the request. For example, you may be able to leave the vehicle on a weekday but need it returned before a family journey. Ask what the provider can confirm and what depends on inspection findings. A qualified answer can include uncertainty; your plan should show that uncertainty rather than convert it into a promise.

If the proposed new date falls after the existing expiry, pause the driving plan and resolve transport with the appropriate provider or office. Do not assume the calendar change preserves permission to use the car. It is also wise to review compulsory-insurance dates with the organization handling the procedure when timing changes significantly. Keep each issue separate: the garage's availability, the official validity and your own mobility needs. This produces a schedule that can survive an honest delay instead of depending on every step occurring at the fastest advertised speed.

04

Send a change request that reception can act on

A useful change request can be read quickly: "My reference is this number. The vehicle is this model and the current visit is this date and time. I would like to change the estimate visit to either of these dates. The inspection expires on this date. Please confirm the new arrangement, any effect on the work already agreed and any charge before proceeding." Replace every field with verified information. Do not describe a preferred date as available unless the provider has confirmed it.

Use the contact channel shown in your reservation or on the garage's own website. If identity verification is required, follow the provider's process rather than posting documents in a public comment or sending them to an address found in an unrelated advertisement. Include only the information necessary to identify the booking at the first stage. Reception can tell you whether more evidence is needed. You do not need to share the complete contents of your vehicle folder simply to start a date-change conversation.

Ask for an answer that closes the loop: new date and time, old reservation status, any linked loaner arrangement and the conditions of the agreed work. Sending a message proves that you sent a request; it does not prove that staff received it, acted on it or confirmed your choice. If the issue is time-sensitive, use the provider's published urgent contact route during its opening hours. Make a note of the response and the next action so a second person helping you does not send a contradictory request later.

05

Ask about charges at the actual stage of the work

Ask about the charge that applies to your current stage, not a supposed national cancellation rule. Cancelling a preliminary visit may raise different questions from stopping work after a special-order component has been authorized. One local provider, Nishi Jidosha, publishes an FAQ distinguishing reservation cancellation from costs associated with parts orders. Treat that as an example of why the stage matters, not as a promise that every garage has the same policy.

If the garage describes a charge, ask which service or commitment it covers, when it arose and where the condition was stated. Preserve the quotation and your approval messages. A factual record is more useful than trying to resolve a disagreement from memory. If work has started, ask what is complete and how the vehicle will be released. Do not assume cancelling the inspection appointment reverses an earlier instruction to perform diagnosis or order a part.

Keep potential charges separate from confirmed charges in the replacement budget. You may be waiting for the garage to explain an amount, waiting for a part supplier to answer a return question or simply asking about future conditions before deciding. Label each accurately. An enquiry about a possible fee is not a bill, and a bill is not proof that you have accepted a new appointment elsewhere. Clear separation helps you decide whether changing provider is worthwhile after transport, time and any already-agreed work are considered. Where a contractual disagreement remains, seek appropriate advice rather than treating a website comparison tool as a determination of legal responsibility.

06

Check authorized parts and work before moving providers

Before changing providers, find the record of any authorized work or component order. Establish what you approved, what has happened and what remains pending. A preliminary estimate may have led to a separate agreement during a later call. If you cannot find that record, ask the garage to summarize its current instructions. Do not assume that every line on a quotation was authorized, or that nothing was authorized because the original request was made online.

Ask about the part itself only through the party handling the order. Availability, return arrangements and compatibility depend on the actual component and transaction. A generic guide cannot say that a special-order unit can be cancelled without cost or transferred to a different garage. If you are considering another repair option, tell the current garage before adding a second commitment. Otherwise you can end up with two providers preparing different solutions for the same car.

If the vehicle is already in the workshop, ask about its release condition and handover. Some work may be complete while another task is pending. You need to know what the receiving provider will actually get, which papers accompany it and how transport will be arranged. Give the new garage a factual summary rather than saying the car is untouched. This also helps avoid paying twice for an assessment whose result could have been explained. Keep the conversation focused on scope, condition and responsibilities. A disagreement about timing should not lead to a handover in which neither garage knows what work was performed or what the customer expects next.

07

Update loaner and travel arrangements separately

Treat a loaner reservation as a linked arrangement that needs its own confirmation. Changing the car's admission date does not establish that the same borrowed vehicle will be available on the new date. Give the provider your required hours, passenger needs and intended drivers. Ask which borrowing and insurance conditions apply, and whether the revised return time changes the cost. Use the dedicated loaner checklist linked with this guide for the fuller handover questions.

Plan travel without assuming a loaner is the only answer. A family lift, rail journey or taxi may be practical for a short assessment visit, while a multi-day repair creates a different need. Compare those options using your actual journey and confirmed prices. A garage with a slightly lower service quote may be less convenient after two long trips; another may be easier to reach but cannot provide the vehicle you need. Neither fact alone makes one provider universally better.

Record the collection and return points, the contact person and the opening times that matter to your plan. If somebody else will help, share the confirmed version rather than the original request. Check any personal items you need from your own car before leaving it. For a loaner, review the controls and conditions at handover instead of relying on familiarity with another model. The aim is to remove avoidable uncertainty from your day. It is not to turn a date-change enquiry into an unsupported promise of free transport, free fuel or cover for every family driver.

08

Keep reward eligibility separate from the payable amount

If a booking change affects the route, provider or inspection date, review the actual campaign terms. Eligibility may depend on conditions that are separate from the garage's ability to perform the work. Read the provider's current campaign page and your account record rather than relying on a remembered headline. A guide should not promise that points follow every cancellation and rebooking, or that a local discount automatically combines with a platform reward.

Keep the payable invoice amount in one field and possible later rewards in another. This is particularly helpful when comparing an immediate reduction with points awarded later. The two have different timing and conditions. Do not deduct an unconfirmed reward from the cash you need for the appointment. If a price change is offered by the garage, ask which work it covers and whether the revised date affects it. Save the answer with the quotation.

For a replacement decision, compare the same work scope first, then transport, timing and the verified benefit. A visually attractive offer can be less useful if it leaves an important repair unquoted or requires a date you cannot attend. Conversely, a provider with no headline reward may still be appropriate after the full arrangements are considered. Your comparison sheet should make those conditions visible. It cannot rank every provider in Japan or determine which campaign is best for a person whose account and vehicle it cannot inspect. Use it to support a specific conversation with the actual organizations, not to manufacture a universal "cheapest" claim.

09

Follow up on an unanswered request without duplicating it

If there is no answer, first check the destination and the booking reference. Look at the provider's opening arrangements and any acknowledgement you received. Then check your spam folder and the account where the reservation was made. An unanswered email does not mean the change was rejected, but it also does not mean it was accepted. Describe the status accurately when planning the next step.

Use the provider's published contact route to refer to the earlier request. Give its date and the change you asked for. Ask whether the original reservation remains active and whether the preferred replacement can be confirmed. Avoid sending several differently worded requests that suggest different dates. Reception should not have to decide which message represents your final choice. If another family member made the original booking, agree who will speak for this change.

Before creating another booking, understand any existing work commitment. It may be reasonable to enquire about alternatives, but distinguish an availability enquiry from an instruction to proceed. Tell a potential new provider that you are checking an option, and tell the original provider clearly if you want to cancel. Keep a short record of each response. If one answer arrives after you have already selected a different arrangement, resolve the overlap rather than ignoring it. This approach protects your own schedule and respects the time of the garages preparing for your visit. It also gives you a reliable trail if a later invoice or reminder refers to the old date.

10

Compare three common scheduling scenarios

Scenario one: your work schedule changes before the preliminary-estimate visit. No inspection work has yet been agreed. The useful request is to move that visit and confirm whether the garage still has enough information to discuss later inspection dates. There is no need to claim the car will be inspected on the new visit day. Keep the distinction clear and review what documents reception wants you to bring.

Scenario two: you approved a component order and then found another provider you would prefer. The next step is to understand the existing order and work commitments, not to assume the earlier reservation can be erased. Ask the original garage about the scope, charges and vehicle release. Ask the new garage what it is offering, including any assessment it still needs. Compare a real replacement plan with the real current plan, rather than comparing two incomplete totals.

Scenario three: a family emergency means the original appointment cannot be attended shortly before expiry. The useful plan may include another confirmed appointment, temporary alternative transport and an appropriate way to move the car if validity expires. The garage's first available date does not decide your driving permission. These scenarios are original planning examples, not actual customer testimonials. They show how changing one date can affect several tasks. Write confirmed, pending or not applicable next to each task, and inform family or work only of the stages you can honestly confirm. This avoids making a completion promise that depends on repairs nobody has yet assessed.

11

Build a confirmation note that survives a handover

Once the provider responds, make one confirmation note containing the date, time, location, purpose of the visit, vehicle, requested documents, loaner arrangement, payment conditions and status of the old reservation. Use the provider's wording where possible. Mark expected completion as an estimate when that is what was given. Do not rewrite "we will assess it that morning" as "the inspection will be finished that morning."

Keep the note accessible to anybody helping with delivery or collection. If you are using a shared calendar, replace the visible event with the confirmed arrangement while preserving the earlier email or message as history. This gives everyone one current instruction without losing the evidence of the change. Avoid putting sensitive document details into a calendar visible to unrelated people; the event needs the practical information for the journey, not your entire registration file.

Before departure, check the latest message, the destination and the items you need to hand over. Make sure the garage expects the car on that date. If the replacement booking was made through a different route, use its current reference rather than the old platform reference. The note also helps after the visit: you can compare what happened with what was actually agreed and identify a question without relying on memory. Clear confirmation is a convenience feature you can create yourself, even when two providers have very different booking interfaces or when the arrangement was made by phone rather than through an app.

12

Compare the total commitment, not just the appointment label

Use a replacement comparison with four parts: the service scope, any confirmed cost of changing the current arrangement, transport and the time you cannot use the car. Your family and work constraints belong in the comparison because they affect whether you can actually carry out the plan. A lower quotation is not an improvement if it describes a visit you cannot attend or leaves an important condition unanswered.

Do not price an unknown item at zero. If the replacement garage has not quoted collection, write "collection not confirmed." If the original garage is reviewing a parts charge, record that review separately. You can still compare the known portions, but the decision should acknowledge what remains unresolved. The quote-comparison tool provides a structure for your confirmed figures; it does not retrieve live offers, settle cancellation disputes or verify discounts.

For an original worked method, draw one row per provider and one column per dependency. In the service column, write the actual work being compared. In timing, write whether it is confirmed or estimated. In mobility, write how you will travel. In cost, write what is payable and what is pending. Select the plan with the best fit for your own confirmed needs after obtaining the missing answers. This is more defensible than a universal ranking that declares a nationwide winner without seeing your car, your old agreement or the workshop's real capacity. Retain the sheet so the next conversation starts with the question that matters most.

13

Use the free preparation pack as your own planning sheet

The free preparation pack can help you bring dates, documents and quotation questions together. Open it without email if that is your preference. Use the relevant part as a working sheet for the garage conversation, then record the answer beside the question. A sheet that remains partly incomplete is still useful when it shows exactly what you need to confirm. There is no benefit in filling every box with guesses simply to make the plan look finished.

If an optional email request is available and you choose it, review the purpose and consent information. Receiving a preparation message is separate from asking a garage to change a booking. A website account or email confirmation cannot make an external appointment valid. You should not send this website your official documents or complete booking credentials in order to use the pack. The actual reservation stays with the provider responsible for it.

After the change is completed, keep the questions that proved useful. They can form a short checklist for the next inspection: which visit is being booked, what happens if dates change, when parts become a commitment, how a loaner is reserved and how completion is confirmed. This is practical learning from your own arrangements, rather than a claim that all providers should follow one platform's interface. A clear record helps the next visit start calmly and lets you choose communications voluntarily, instead of exchanging personal information merely because a free planning tool appeared to require it.

FAQ: Booking changes and cancellations

Can 車検.jp change my Rakuten booking?

No. Contact the responsible garage using the reservation and provider guidance. This site offers preparation information, not access to another company's booking record. Keep your current reference ready and ask for confirmation of the actual change before planning a new visit.

Is my change complete when I send an email?

Sending is not confirmation. Obtain the new date, time and status of the old arrangement from the provider. If the reply remains pending, label it as pending. Do not present your preferred date to a family helper as a confirmed appointment.

Is cancellation always free?

No universal condition applies to every garage and stage. Ask about the actual agreement, any authorized parts and any work already performed. Preserve the terms and approval record. A fee-free preliminary enquiry at one provider does not establish another provider's rules.

Is an estimate visit the same as the inspection appointment?

They can be separate. Identify the purpose of the confirmed visit and whether later work has been agreed. If both happen on one day, obtain that confirmation directly. An application message alone should not be turned into a promise of completed inspection.

Does moving the appointment automatically move the loaner?

Do not assume so. Confirm the revised borrowing period, drivers, insurance conditions, charges and return arrangements. If a loaner is unavailable, compare practical alternative travel. The new inspection date may work even when the original mobility arrangement does not.

Can I drive after expiry because the new booking is confirmed?

A booking is not road permission. Resolve the official validity and appropriate transport separately. Tell the garage the real expiry date so it can discuss the arrangement accurately, and do not let a convenient calendar entry replace that check.

Will rewards transfer to my replacement booking?

Check the actual campaign and reservation terms. Keep any possible future benefit separate from the amount you must pay. Do not assume a different provider, route or date qualifies because the original booking appeared eligible. Preserve the current official conditions for reference.

Can I switch garages after approving parts?

Ask the original provider about the order, work performed, charges and release conditions first. A new reservation does not undo an old commitment. Give the receiving garage an accurate account of the car's current state and the task you want it to undertake.

What should I do if nobody replies?

Check the contact destination and opening arrangements, then use the provider's published route to reference the earlier request. State what remains unanswered and ask about the old booking status. Keep the request consistent rather than sending several competing date choices from different accounts.

Do I have to register to use the preparation pack?

No. Use the pack without email if you prefer. Optional email requests, where available, have their own purpose and consent information. A request for a pack is not a garage reservation, and an email confirmation is not confirmation of an external booking.
